TERMS AND CONDITIONS
TENTATIVE BOOKINGS
We will hold a tentative booking for a maximum of seven (7) days from the date of the initial enquiry.
LARGE BOOKINGS
We encourage group bookings throughout our hotel. However, to ensure prompt food delivery, bookings over 30 guests will be required to reduce their menu offering. Please work with our friendly functions manager to curate the perfect reduced menu for your needs.
BOOKING CONFIRMATIONS
We are happy to place tentative holds for your special date. Please note we can only hold this in our reservation system for one week (7 days) without a security deposit.
Large bookings will be required to complete a pre-authorisation to confirm a booking.
For large events and exclusive bookings, a security deposit of $500 is required. Payment can be made via credit card or cash. Your deposit is redeemable on the day of your booking and minimum spend has been met. Deposit payment is considered acknowledgement of these Terms and Conditions.
MINIMUM SPENDS
Minimum spends are required for exclusive bookings in all function spaces. If the minimum spend is not reached through consumption on the day, the balance owing will be charged as a room hire fee.
CANCELLATIONS
In the unfortunate circumstance that a confirmed function is cancelled or needs to be transferred to another date, the Windmill Hotel operates under the following timelines:
- Full cancellation must be made at least one (1) month prior to the event date to be eligible for a deposit refund. Where a booking is rescheduled to an alternative date (subject to availability), the deposit will be retained and applied to the new booking.
- Cancellation within two (2) weeks of the event will forfeit the full deposit.
- Cancellations made within one (1) month of the event date during November and December will result in forfeiture of the full deposit, unless the booking is transferred to an alternative date (subject to availability). Where a booking is rescheduled, the deposit will be retained and applied to the new date.
FINAL NUMBERS, PAYMENT AND ORDERING
Final guest numbers must be provided no later than seven (7) days prior to the event date.
If unforeseen circumstances require numbers to be altered after this time, there will be no refund of security deposits.
All outstanding payments must be finalised on the night of the event.
All food items must be selected and ordered no later than seven business days (7) days prior to your event. All confirmations and changes to food selections and guest numbers must be confirmed in writing.
MENU AND PRICE CHANGES
We like to keep our food, wine and beer offerings fresh and current. Menus and prices are subject to change.
BYO
A maximum of six (6) bottles of wine may be brought in as BYO. Spirits are not permitted. BYO wine is charged at $30 per bottle.
DELIVERY AND PICK-UP OF GOODS
We are happy to hold your personal items and mementos after the event. Please ensure all items are clearly labelled. Items will be held for a maximum of 24 hours. The Windmill Hotel accepts no responsibility for loss or damage to any goods or equipment.
DECORATIONS
Candles, party poppers, confetti, metallic scatters, and balloons containing confetti are not permitted. Nothing may be nailed, screwed, or adhered to walls/surfaces. If prohibited items are used, if items are fixed to walls/surfaces a cleaning fee will apply. Cleaning and property damage/removal fee will apply and be charged to your account.
MINORS
Children are welcome to attend functions but must be supervised at all times by a parent or guardian. Due to licensing requirements, all minors must leave the premises by midnight.
SMOKING
Smoking is not permitted outside designated smoking areas.
PUBLIC HOLIDAY SURCHARGE
A 10% public holiday surcharge applies to all pre-booked functions held on a public holiday.
COMPLIANCE
It is agreed upon that the host will conduct the function in an orderly manner and will respect the staff and all property of the Windmill Hotel. Failure to comply with these terms may result is the termination of your function.
CLOSING
Last drinks will be called at the Manager’s discretion, with service concluding no later than 11.30pm. All function guests are required to vacate the function area by the agreed finish time.
